Zoom fatigue is real and there are many ways to fight it. Unfortunately, online meetings are here to stay, and the number of meetings will increase in a short term.
In this post, we will try to help you decrease the number of meetings where you have to be present to be up to date. We will create an automated reporting process for each online meeting. A.I. will help us to extract key points per each meeting to get an overview.
Our key objective will be to convert each meeting into a standard task with additional information that we can process:
Step 1: Record meetings
To have an overview of each meeting it is highly recommended to enable recording. The recording will allow us to generate a transcript which is our target. Meeting recording is available on paid Zoom plans.
Once the recording processing is finished we will get a notification that it is available which will trigger our transcription process.
TIP: You can use local recording on a free plan and move the file to Dropbox local folder to store it in cloud.
Step 2: Generate a transcript
Once the recording is finished you can start the transcription process. There are many services which can help you do that. In our example and the video below we've used Otter.ai.
Once the transcription is finished the generated file can be saved together with recording. In our example we are using Dropbox to store both files.
Step 3: Each meeting is a task
To store information about our meetings we will use project tools like monday.com or Asana. Each meeting will be a task with additional information about it. In our example, we are using Integromat to create the task in monday.com and Asana.
Using a project management tool as a database for our meetings has a lot of benefits. Because meetings are also a type of work, you will have the information about them in one place. Including participants and hours.
Step 4: Extract Key points or Summary with A.I.
Once each meeting is prepared as a task you run various automation including A.I.-based workflows from Bitskout. Bitskout allows you to analyze meeting transcripts in a different manner. We recommend using keyword extraction for each transcribed meeting to have a solid overview.
Then based on extracted key points you can run an in-depth analysis using questions to text functionality.
As a result, you will have an automated meeting reporting process. As now we've converted a meeting into a standard task you can harness the full power of project management tools like dashboards to work with it.
