Automating Invoices to Notion

Updated: Sep 13, 2023

Are you tired of manually inputting data from invoices into Notion? Look no further! In this article, we will explore the easy and efficient way of extracting data from invoices and inputting it into Notion. With just a few simple steps, you can save a lot of time and bring clarity to your costs.

Video Overview

We will use Zapier together with Notion as it will allow us to build a slightly better process than using just Notion. You can use Make.com or Power Automate instead of Zapier as well.

Let's start invoice automation!

Step 1: Setting up the Zap

For simplicity, we will use a trigger when a file is uploaded to a Dropbox folder.

You can set up different triggers like a new email, a new Whatsapp message, or a form submission. Once the invoice PDF arrives at some location, we can analyze it:

Step 2: Automating invoices with Bitskout

The Bitskout app in Zapier has direct actions which means that to use them you don't need to create a separate plugin, we will create it automatically.

Step 3: Configuring Notion

And the last step would be to choose where you want data to appear in Notion.

Now we need to map the data from the previous steps to this Action:

So now once the file is uploaded to a Dropbox folder, Bitskout will extract information and write it to the Notion database.

Bitskout and Notion Zap

We have created the above Zap as a template, feel free to try it yourself. (Note: You will need a Bitskout account):

Conclusion

In conclusion, automating invoices can greatly improve productivity in your team by reducing the time and effort spent on this task.

If a company processes 1000 invoices per month and spends 3 minutes extracting data from each invoice, they are wasting approximately 3000 minutes.

This equals a full-time employee doing that. By using automations that you can set up yourself, you can save an enormous amount of time and energy.
